Tanimura & Antle Fresh Foods find Crossware Mail Signature to be a solution with huge benefits.

This case study was written by Abel Valdez, Collaboration Manager for Tanimura & Antle Fresh Foods. He has been working with Lotus technologies for over 10 years. He is a PCLP and currently enrolled at Golden Gate University in San Francisco.

"Using Lotus Notes RTF gives all users a sense of artistic freedom and nowhere is it more apparent than in signature lines. Which as Administrators we all know make an email a little bloated."

Our IT department, here at Tanimura & Antle Fresh Foods, had been looking for ways to control signature content and their use for at least two years when our marketing department came to us asking for a way to drive more customer traffic to our website.

We thought about how to have a larger presence, yet go about it subtly. In the agricultural industry verbal communication is king to communicate with our customers about sales, yet email is used tremendously for details.

"We started looking for a solution that would meet Marketing’s needs while helping IT be more efficient with control and flexibility of our signature policies."

As we were looking for solutions we had to keep some important things in mind, in this order of importance: AS/400 compatibility, Nothing installed on the client side, Control, Flexibility and Licensing

In reality this project was a total IT coup as our signature nightmares varied from:

    - Users putting in their own little slogans
    - Users calling the helpdesk to make their own HTML signature
    - Users demanding we make them a cool looking signature
    - Departments adding their own Vision Statements on top of the Company’s
    - Hearts and smiley faces everywhere

"Our marketing department just wanted a way to drive more customer traffic to the company website and maintain a one-look signature with the correct corporate image."

In our search, we came across a few solutions but none of them were compatible with the AS/400 AND were client side only. Finally, we found Crossware Mail Signature.

"Crossware fit the bill, in a very simple yet functional fashion. From the install on the AS/400 to the configuration of our first Signature it was elegantly simple."

After implementing Crossware Mail Signature, we accomplished all of our goals including eliminating the help desk calls for signature line help and non-corporate approved messages in the signature lines.

We also corrected a lot of errors in our directory. Ever tried to have your users self regulate their entries? A simple way is to display their entries to their customers in their signature lines. There was a sudden urgency to enter correct information, especially for our sales floor.

"The last bonus for us was unforeseen. Our marketing department now uses Crossware Mail Signature to do seasonal targeted advertising. This is a solution with huge benefits for any Notes shop."
